TERMS, CONDITIONS POLICIES & PROCEDURES
Welcome to HERE I AM Photography!
Each of my clients are valuable to me and because I want to ensure your experience is as easy and hassle-free as possible I must enforce the following policies.
STUDIO HOURS
Studio hours are by appointment only.
SESSION FEE
The session fee is £75 and includes the photographer’s time and talent, in person, phone and e-mail consultations to help plan your session, session preparations, portrait retouching and viewing/ordering session. It is non-refundable and non-negotiable. It does not include any finished products. Session fees are due when appointment is scheduled. Appointment times cannot be held until session fee has been received. The fee must be paid within 48 hours of selecting tentative date or the date is released to other clients. Once we receive your session fee and contact details we then contact you to discuss your session or arrange a pre consultation visit.
In the case of last minute session bookings, the deposit must be received 48 before a planned session.
Your session fee be put towards your chosen package.
CANCELLATION AND SCHEDULING
If you need to reschedule your session due to sickness, injury or scheduling conflict, please contact us at least 3 days prior to your session. I understand life happens, so notify me as soon as possible if you need to reschedule your appointment and I will do my best to reschedule your appointment at my earliest available date. Multiple rescheduling might require an additional session fee. However, if you cancel your appointment less than 3 days before your appointment or are a no-show for your appointment you will forfeit your session fee and services are considered rendered.
ILLNESS
We operate a strict no illness during session policy. We reserve the right to force rescheduling if we notice your baby or you are sick. Sick or uncomfortable babies do not like to be photographed and we know that you will not love your portraits nearly as much as if he or she was in good health. You can attend session only 48 hrs after symptoms clear.
PLEASE INFORM US ABOUT ANY ALLERGIES OF ANYONE WHO IS COMING FOR A SESSION.
PAYMENTS
I accept cash, bank transfer and debit/credit card payments through pay pal redirection on my website. You do not need PayPal account to use this service and payments are processed quickly.
YOUR SESSION
We ask all clients are on time to ensure you have your full scheduled session time. We reserve the right to cancel an appointment for clients who are more than 30 minutes late. Please, however, always contact us as soon as possible if you know you might be late and stay in touch. If you are late, your session time is cut short and does not get extended by the time are arrived late. We highly suggest that you do not bring anyone other than the subject to be photographed to you session. However, babies’ parents are always welcome.
Maximum of 3 set-ups per session (doesn't apply to mini sessions).
FILMING AND PHOTOGRAPHING SESSION
Absolutely no filming and no photographs to be taken by clients during the session.
ORDERING SESSION
One viewing/ordering session is included in the session fee. This session will be held in my studio unless other arrangements have been made. Images are generally ready to view within two weeks of your session however during busy times this time may increase. You will order your images during the ordering session and I will be there to guide you through the decision process. I highly encourage you to view your images in person, however I know sometimes special circumstances arise. In these cases other special arrangements can be made. Full payment for your order needs to be received during ordering session and is subject to 50% cancellation fee should you change your mind about and order after it is placed. Once an order is sent to the lab it is deemed non-refundable.
In exceptional circumstances, if it is not possible to arrange an ordering session, low resolution files can be sent to a client via e-mail.
Please make sure all decision makers are present as additional ordering appointment will incur an additional £50. All sales have to be closed on the day of ordering session. If ordering session cannot take place in person and low resolution files are sent to a client via e-mail sales have to be closed within 48 hours from when the files were sent. A fee of £50.00 will be incurred for processing orders after this time frame. Images will be stored for 30 days available for first order.
You can pay by cash, bank transfer or pay pal.
ORDERS
All sales are final because of the custom nature of the orders. Orders are generally available to pick up within 1-2 weeks after order has been placed however some products might take additional time. You will be notified by telephone, text or e-mail when your order is ready to be picked up.
All wall products need to be collected in person. On bulk orders we might be able to deliver your wall products to your home. Small items prints, usb sticks, albums can be collected in person and can be sent by post for an extra fee.
Orders not picked up within 30 days are subject to £25 storage fee. You order will be disposed of after 60 days if not collected and no refund will be provided.
Your images will be stored and available for subsequent orders for 60 days from the date of your viewing session
The studio operates by appointment only. If you are late for your collection appointment we might ask you to reschedule.
PRICING
Prices are subject to change without notice. Only clients with scheduled sessions (who have paid the session fee) will be locked into pricing plan.
Please note our services are not offered in exchange for other services or goods.
YOUR IMAGES
While we capture many images during your session, the images taken are subject to culling process and you will only see those selected by the photographer for previewing. We carefully render each image to ensure maximum artistry and technical perfection. Less successful images and duplicates will not be shown and are removed from our archives permanently after the culling process is complete.
You cannot purchase RAW or unedited files as they are an unfinished product and do not represent the standard of our work.
PROPS
Here I Am Photography provides all props, blankets and equipments for the session. It is under our discretion that we might use other props provided by the customer however we reserve a right to refuse using a prop if we believe it does not suit or cannot be incorporated into our general style.
COPYRIGHT
Here I Am Photography owns the copyright to all images. It is illegal to further edit digital image created by Here I am photography, this includes putting filters on the images.
By participating in these activities you are devaluing my work and scaring our reputation for providing superior portraits.
Digital images come with release for printing and sharing however we highly recommend that you order your prints with Here I Am Photography to avoid disappointment of poor printing quality. Printing edited images in other than professional laboratories is not recommended.
Our digital images are for personal use only and not for commercial or competitions. They must not be used for business or any commercial use without the written permission by Here I am Photography.
INJURIES
You agree to hold harmless Paulina Kott, her representatives, employees and Here I Am Photography from any dispute in the event you become injured during your session or while on the studio premises. Here I Am Photography and it’s representatives will not be held liable for any injury incurred by you or your family, or any damage or loss of your property during the hot session while on the studio premises.
PHOTO EDITING
The level of editing skin imperfections is to be discussed at pre consultation. As a rule, we edit out temporary blemishes, spots and scratches, discolouration but we leave permanent skin growths, conditions and birth marks. If you want some of those to be edited out/faded you have to ask us to do so at the time of your preconsulations session.
We reserve the right to refuse to edit baby’s/subject’s skin excessively as the outcome might look not natural. We will edit the skin in lines with our standards which is represented by our portfolio images.
RE-SHOOT
Our goal is for your 100% satisfaction with your session and with your images. There is no charge for re-shoot due to technical issues (equipment malfunction). It is under Here I Am’s discretion that we reschedule a newborn session free of charge due to baby being not settled enough for the session to be successful. However, I cannot offer free re-shoots for any of the following reasons: dissatisfaction with clothing, facial expressions, hair or other reasons that are beyond my control. A further session is of £75.00 will be applicable if you require a re-shoot.
MODEL CALLS & COMPETITIONS
When you enter our competitions and respond to our model calls you give us a full right to decide on a session theme and choice of props.
Additional set ups may be agreeur discretion.
All model call participants and competition winners agree to sign a model release to enable Here I Am Photography to use ad at oll the edited images from the session for portfolio and marketing purposes.
PRINTS
Prints in card mounts included in packages can only be chosen from images that have been chosen as part of purchased package.
PRIVACY POLICY
Here I Am Photography is committed to your privacy. Information collected from clients over the phone, in person or through my website or social media is kept confidential. Information will not be shared or sold to third parties. I understand some clients want to remain anonymous due to their job or personal preferences. Your images will never be used on my website, social media or in my studio without written permission.
RIGHT TO CHANGING TERMS
All of these company policies are based on company need and the requirements to run a successful business so additional items may be added and/or removed at any time.
